How to import census data for river partners census

Prepare the template

  1. Copy an existing census template -

    1. Try to keep the fields the same this will help with the queries

    2. Rename The Copied Template

    3. Make sure deactivated is unchecked

  2. Add new fields you need in this example there is a community field

Prepare the upload source document

  1. Open your excel sheet source

  2. Add a column for the field - row and fill - copy and paste the value

  3. Field - Row will be used to connect fields together

  4. Save the sheet

  5. Create an aggregate of the field - row so that there is one field - row per line

    1. You can use power query

    2. Copy and paste into the create table

Prepare the upload document

  1. From NRDS Export the excel template from the new survey

  2. Fill the first page

    1. Fill the project

    2. Fill the Field-Row

  3. Copy and paste the second sheet

    1. Field row in the first column

    2. Match other columns

  4. Save

Import The Sheet

  1. Upload the sheet to the survey

  2. Uncheck includes first repeating record

  3. On the second sheet import

    1. Uncheck survey id

    2. Add field row

    3. Uncheck columns that are empty on the import

  4. Evaluate Import

  5. Import Surveys

Confirm the data has been imported

Copy Census from One Year to the Next

If you want to copy a census from one year to the next you can just copy the data

  1. Navigate to the census list

  2. Click the edit button on the census you would like to copy

  3. You will be in edit mode

  4. Scroll down to the bottom of the form click copy

  5. Confirm Copy

  6. Make sure you are on the copy

  7. Update the form and remove any dates or other info to create a fresh form

    1. Start date

    2. End date

    3. QA/QC data

  8. Save the copy

  9. Confirm that there is a copy and the original
