  • Start with a survey/template that has been shared with your team but is owned by someone else.

  • Open the template you want to control access for (example: Plots).

  • Go to Access Restrictions to manage who can see or edit it.

2. Choose a group to control permissions 0:24

  • Instead of setting permissions one person at a time, place coworkers into a group.

  • Select the group you want to manage (example: Dev Demo).

  • If no permissions are selected for that group, members of the group will not be able to see the survey.

3. Review who is in the group 0:48

  • Use the Setup Edit button to view the members of the selected group.

  • This helps confirm exactly who will be affected by the access settings.

  • Verify the group before assigning permissions.

4. Assign the level of access you want 1:03

  • Choose the permissions you want the group to have.

  • Available options include:

    • Add Own

    • View Own

    • Edit Own

    • Delete Own

    • View Others

    • Edit Others

    • Delete Others

  • Select only the permissions that match what you want users to be able to do.

5. Apply permissions to yourself or specific users if needed 1:11

  • You can also assign permissions for your own team or yourself.

  • In the example, permissions are added for the Mocha team.

  • This shows that access can be customized based on team membership.

6. Confirm the restriction works 1:26

  • After permissions are set, return to the template.

  • If you do not have permission, you may no longer see the survey or its data.

  • In the example, the template no longer appears in the list because access was excluded.

7. Use access restrictions to control shared survey visibility 1:55

  • This process lets you control who can access a shared survey within your team.

  • It is useful when a template is shared broadly, but only certain people should be able to add or view data.

  • The result is more precise control over shared team resources.
