Fine-Grained Sharing System for Surveys and Templates

How to Use the New Fine-Grained Sharing System for Surveys and Templates to set read, write, delete permissions

1. Overview of the new sharing system 0:00

  • The video introduces a new sharing system with more fine-grained permissions between teams.

  • It is designed for situations where you need to share data across different groups or organizations in NRDS.

  • The key improvement is that you can now control access at a more detailed level than before.

2. Share an individual survey with a group or team 0:22

  • Open the survey you want to share.

  • Click Permissions in the survey.

  • Choose Add Permission Group to share with a group across multiple teams.

  • Select the group name and assign one of these permissions:

    • Read

    • Write

    • Delete

  • You can also choose Add Permission Team to give a specific team access.

  • For a team, you can assign read or write permissions for that survey.

3. Make sure the template is also shared 1:18

  • Sharing a survey alone is not enough for the data to appear.

  • The template itself must also be permissioned.

  • Go to the template editor.

  • Open the Plots section.

  • Find the new Sharing Permissions tab.

4. Set permissions on the template 1:41

  • In the template’s sharing settings, you can add permissions for:

    • Specific teams

    • Groups

  • For teams, you can grant:

    • See/view access

    • Write access

    • Delete access

  • This controls access to the template infrastructure, not just the survey data.

5. Understand the relationship between template sharing and survey sharing 1:50

  • To fully share a survey, you must share both:

    • The survey/data

    • The template/infrastructure

  • If the template is not shared, the data will not show up even if the survey permissions are set.

  • This applies to items like lists as well: you can share the structure and the data separately.

6. What’s new compared with the old system 2:22

  • The old permission system only supported read-only sharing for teams.

  • The new system is more fine-grained and supports:

    • Read

    • Write

    • Delete

  • This gives much more control over how teams collaborate and what they can do with shared content.
