Using Quick Collect and Barcode Scanning to Record Plants and Plant Checks
1. Set up your templates for barcode-based entry 0:12
Open your Plants template and confirm the plant name field is configured to accept barcode scanner input.
Open your Plant Checks template and confirm the plant selection field is also configured to accept barcode input.
This setup lets you scan a barcode to either:
create a plant record, or
look up an existing plant when recording a plant check.
2. Create a Quick Collect shortcut for plant checks 0:43
Go to the Quick Collect tab.
Turn the Quick Collect option active.
Set the first action to Open the form.
Add a second option so the shortcut can do more than one thing.
Configure that second option to:
Scan a barcode
Use Plant Name as the field to scan for
Open the Plant Check record form
3. Set default values for faster data entry 1:34
Set the date field to default to the current date.
Leave other defaults blank if they are not needed.
Save the Quick Collect configuration once the shortcut is ready.
4. Refresh the mobile app so it picks up the new shortcut 1:58
Open the mobile app.
Use Fetch to pull the latest Quick Collect settings from the web.
If the shortcut does not appear immediately, fetching refreshes the app data.
Turn Quick Collect on using the toggle/wheel control.
5. Test the barcode workflow by creating a plant record 2:49
Turn off any other Quick Collect options if needed.
Select Record Plant Check to open the barcode scanner.
Before testing the plant check, create a new plant record.
Tap the plus button and go to the Plants form.
Scan the plant barcode in the plant form to populate the plant name.
Save the new plant record.
6. Scan a plant barcode to create a plant check 3:19
Tap Record Plant Check again.
The barcode scanner opens.
Scan the plant barcode.
The app looks up the matching plant from the Plants list.
The Plant Check form opens with:
the correct plant selected
the date filled in automatically
Save the form to create the plant check record.
7. Understand the result of the workflow 3:40
Each time you tap the Quick Collect button and scan a barcode, a new plant check is created.
The barcode scan is used to find the matching plant record and populate the form automatically.
This same pattern can be used for other assets or objects you want to record with barcode scanning.
