How to Use a Survey’s Unique ID for Search and Data Import

When importing or exporting survey data sometimes it is helpful to use unique id's for matching of embedded surveys

1. Understand what the Survey ID is used for 0:00

  • This walkthrough shows how to use a survey’s unique ID (Survey ID) when one survey is embedded inside another.

  • The main use case is searching or, more importantly, importing data using the unique identifier instead of the survey name.

  • This is especially helpful when multiple records may share the same name or when naming conventions are complex.

2. Identify the embedded survey and its unique ID 0:12

  • The example uses two surveys:

    • Camera Locations

    • Camera Checks

  • In the Camera Checks record, a camera location is selected as the checked camera.

  • To find the unique ID for a camera location:

    • Open Camera Locations

    • Click Edit on the record

    • Locate the unique ID shown in the record (example: 376401)

3. Add the Survey ID field in the template editor 1:03

  • Open the Template Editor for the parent survey (Camera Check).

  • Find the embedded field for Camera Locations.

  • Add a new field called Survey ID.

  • Save the template.

  • This makes the unique ID visible in survey records for each embedded camera location.

4. Verify the Survey ID appears in survey records 1:50

  • Go to the Survey Records for Camera Check.

  • Confirm that each camera location now displays its unique ID.

  • You can optionally turn this display off later, but it is useful when preparing data for import or testing.

5. Export a record and keep only the unique ID 2:20

  • Export one Camera Check record to an Excel spreadsheet.

  • Open the spreadsheet and locate the camera location field.

  • Trim out extra columns so only the unique ID remains.

  • This creates a clean import file that references the embedded survey by ID rather than by name.

6. Import the file and let the system resolve the embedded survey 2:56

  • Upload the edited spreadsheet back into the Camera Check survey.

  • Proceed through the import steps:

    • Click Next through the prompts

    • Evaluate the import

  • The system uses the unique ID to look up the matching camera location and populate the record correctly.

7. Confirm the import worked 3:17

  • After evaluation, confirm that the import shows 1 record and resolves correctly.

  • Complete the import.

  • The new survey record should now be populated using the unique identifier for the embedded camera location.

8. Use this method when names are not reliable 3:42

  • This approach is especially useful when:

    • You have many records

    • Record names are duplicated or similar

    • You want to avoid relying on complex naming conventions

  • Using the Survey ID ensures imports match the correct embedded record every time.
